This privacy policy sets out how Wellness by Anja uses and protects any personal information that you provide us.

Wellness by Anja is committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified when using our services, you can be assured that it will only be used in accordance with this privacy policy.

THE TYPE OF PERSONAL INFORMATION WE COLLECT

We currently collect and process the following information: personal information and contact details, such as your name, email address and phone number; booking and appointment information; further clinical information such as medical history relevant to your treatment or session; treatment and session records; and payment information needed to process bookings and purchases, handled securely by our payment provider.

HOW WE GET THE PERSONAL INFORMATION AND WHY WE COLLECT IT

Most of the personal information we process is provided to us directly by you, through our website's booking forms, intake forms, questionnaires and enquiry or contact forms. It also includes letters and emails. We collect your personal data because you give us consent to do so to provide wellness services to you, or because it's necessary to process a booking or payment you've asked us to make.

WHAT WE DO WITH THE INFORMATION WE GATHER

We require this information to provide you with a relevant and individualised service, manage your bookings and appointments, keep professional records of client information, share information with relevant health professionals where necessary and with your consent, contact you regarding your treatment or booking, process payments for services or plans you purchase, and, with your consent, send you marketing communications about our services, offers and availability.

YOUR MARKETING PREFERENCES

We will only send you marketing communications by email or SMS or WhatsApp if you have actively opted in, for example by ticking the marketing consent box when booking or checking out on our website. We will never add you to our marketing list without your consent.

You can withdraw your consent and unsubscribe at any time, either by using the unsubscribe link in any marketing email, or by emailing anja@wellness-byanja.co.uk. Withdrawing your marketing consent will not affect our ability to contact you about bookings or treatment you've asked us to provide.

CONTROLLING YOUR PERSONAL INFORMATION

We will not distribute, sell or lease your personal information to third parties unless we have your explicit permission or are required by law to do so.

Under the General Data Protection Regulation (GDPR), we rely on your consent, and where relevant the performance of a contract with you, as the lawful bases for processing this information. You can remove your consent at any time by emailing anja@wellness-byanja.co.uk.

If you believe that any information we hold for you is incorrect or incomplete, please email us as soon as possible. We will promptly correct any information found to be incorrect.

HOW WE STORE YOUR PERSONAL INFORMATION

We are committed to ensuring that your information is kept secure. Our website, online bookings, intake forms and pricing plans are run using Wix.com, a website and business management platform. Wix stores your information on our behalf on encrypted, password-protected systems, and acts as a data processor for the personal information you provide through our site.

Any online payments made through our website are processed securely by Wix Payments (or another payment provider connected to our site). We do not store your full card details ourselves.

Any emails with client identifiable information will be sent using encrypted or secure methods wherever possible.

Our website uses cookies provided by Wix that are necessary for it to work properly, such as remembering items in your cart, keeping you logged in, and processing bookings and payments securely.

We do not currently use cookies for advertising or website analytics. If this changes in future, we will update this policy and add a cookie consent banner so you can manage your preferences.

SHARING YOUR PERSONAL INFORMATION

We are committed to ensuring that your privacy is protected. We will always use private, confidential, and secure methods of communication. In the unlikely event this is not possible, your full name will not be used to identify you. Depending on your preferences we may communicate through email, phone, or video calling; if we have sessions over Zoom, this also counts as a method of sharing information.

Your information will only ever be shared with appropriate parties on a need-to-know basis, and we are required to comply with all aspects of the GDPR when doing so. Where necessary or required, and with your consent, we may share information with: other healthcare or wellness professionals involved in your care; Wix.com, who provide the website, booking, intake form and payment systems used to run our business; social or welfare organisations, where relevant; your family, friends, or other representatives, where you've asked us to; and insurance companies, where relevant to your treatment.

YOUR DATA PROTECTION RIGHTS

Under data protection law, you have rights including: your right of access, to ask us for copies of your personal information; your right to rectification, to ask us to correct or complete information you think is inaccurate or incomplete; your right to erasure, to ask us to erase your personal information in certain circumstances; your right to restriction of processing, in certain circumstances; your right to object to processing, in certain circumstances; and your right to data portability, to ask that we transfer your personal information to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you. Please contact us at anja@wellness-byanja.co.uk if you wish to make a request.

HOW LONG WE KEEP YOUR INFORMATION

We keep client treatment and session records for 7 years from your last appointment with us, in line with standard practice and insurance requirements for complementary health and wellness practitioners in the UK. After that time, your information will be securely deleted.

Should you wish to ask about this, or request that your information be deleted sooner, please contact our Data Controller below - we'll always balance this against any legal or insurance requirement to keep certain records.
